What we collect, why we collect it, and what happens to the documents you upload — including the fact that document content is sent to third-party AI providers so information can be extracted from it.
Scope
This Privacy Policy explains what information Manualworks collects, why we collect it, how we handle it, and the choices available to you. It covers the website, the platform, and any demonstration request you submit.
Information we collect
- Account information — your name, email address, company and role, and the credentials you use to sign in.
- Documents and content you upload — vendor manuals, specification sheets, bills of materials, drawings, process information and any data you enter.
- Generated content — the manuals, sections, component records and citations the platform produces for you.
- Usage information — pages viewed, features used, and diagnostic events, used to operate and improve the platform.
- Enquiry information — the details you give us when you request a demonstration, such as your name, company, industry and message.
How we use it
- To provide the service: storing your documents, extracting information from them and assembling your manuals.
- To authenticate you and keep your workspace separate from every other customer’s.
- To support you, respond to enquiries and answer your questions.
- To maintain security, prevent abuse and diagnose faults.
- To bill you where a paid plan applies, and to meet our legal and accounting obligations.
Automated and AI processing — important
To extract part numbers, maintenance tasks, specifications and warnings from your documents, the content of those documents is transmitted to third-party AI providers that we use to process it. This means your document content leaves our storage and is handled by those providers under their own terms.
We do not permit those providers to use your content to train their public models, and we do not use your content to train models for other customers. Where a provider offers a data-processing agreement, we put one in place.
Do not upload documents you are not permitted to send to a third-party processor — for example material subject to an export restriction, a personal-data restriction, or a customer confidentiality obligation that forbids it.
Why we are allowed to process it
Where data protection law applies, we rely on performance of our contract with you for the core service, our legitimate interests in securing and improving the platform, your consent where we ask for it, and legal obligation where record-keeping or tax law requires it.
Sharing
We do not sell your information. We share it only with service providers who help us run the platform — hosting, storage, email delivery, AI processing and payment processing — and only as far as needed. We may disclose information if required by law or to protect the rights and safety of our customers.
Retention
We keep your documents and generated content while your workspace is active. If you delete a document, it is removed from your workspace. If you close your account, we delete or de-identify your content within a reasonable period, except where we must retain records for legal, tax or dispute purposes.
Security
Documents you upload are held in private storage and are not publicly reachable; access is issued through short-lived signed links that follow your app permissions. We use encryption in transit, access controls and audit logging. No system is perfectly secure, and you should keep your credentials confidential.
Your rights
- Access — ask for a copy of the information we hold about you.
- Correction — ask us to fix information that is wrong.
- Deletion — ask us to delete your content or close your account.
- Portability — export your workspace data.
- Objection — object to processing based on legitimate interests.
- Complaint — raise a concern with your local data protection authority.
Cookies
We use the cookies and local storage strictly necessary to keep you signed in and to operate the platform. We do not use them to build advertising profiles.
International transfers
Our providers may process information in countries other than yours. Where required, we rely on appropriate safeguards such as standard contractual clauses.
Children
The platform is a business tool and is not directed at children. We do not knowingly collect information from anyone under 18.
Changes
We may update this policy as the platform changes. Material changes will be notified in the app or by email, and the "last updated" date above will change.
